Effective November 1, 2026 · Last updated November 1, 2026

Your privacy matters to us. This policy explains what information OpenLot collects, how we use and share it, and the choices you have. By using OpenLot, you agree to the practices described here and in our Terms of Service.

Who we are

OpenLot is a product of Wilson IT Solutions LLC (“WITS”, “we”, “us”), an Alabama limited liability company. WITS operates OpenLot and is responsible for the personal information described in this policy. You can learn more about us at wilsonitsolutions.com.

Information we collect

We collect only the information we need to run OpenLot. Depending on how you use the service, this may include:

  • Account information: your email address, display name, password (stored in hashed form by our authentication provider), and whether you joined as a buyer or a dealer CSR. If you sign in with Google or another supported provider, we receive your name, email address, and profile picture from that provider.
  • Home request details (buyers): the delivery location and approximate map coordinates, how far you’re willing to have dealers travel, home type, bedrooms and bathrooms, budget range, timeline, financing preference, an estimated credit score if you choose to provide one, accessibility needs, and any must-haves you write in.
  • Dealer and CSR information: the dealership you represent, your license number, profile description and photo, the bids you submit (including pricing, home details, and photos), and your plan and bid usage.
  • Messages: the content of messages exchanged between buyers and CSRs on OpenLot, and when they were sent and read.
  • Billing information: paid CSR plans are processed by Stripe. Stripe collects your card details directly; we receive only limited information such as your plan, billing status, and the billing period. We never see or store your full card number.
  • Device and usage information: IP address, browser type, pages visited, and timestamps that our hosting provider records in standard server logs, and the essential cookies described in our Cookie Policy.

We also collect publicly available Google Maps reviews of dealerships listed on OpenLot so buyers can see ratings and summaries. Those reviews are written by third parties, not by you.

How we use information

  • Create and secure your account and verify your email address.
  • Match buyer requests with dealer CSRs who are licensed and serve that area.
  • Show bids, comparisons, ratings, and messages to the right people.
  • Send service emails, such as new bids, updated or retracted bids, new messages, and bidding deadlines.
  • Process CSR subscriptions and enforce plan bid limits.
  • Generate summaries of public dealer reviews.
  • Prevent fraud and abuse, troubleshoot problems, and improve OpenLot.
  • Comply with legal obligations and enforce our Terms of Service.

How information is shared

We share information only as described here:

  • Between buyers and CSRs. When you post a home request, dealer CSRs who serve your area can see the request details they need to prepare an offer, which may include delivery location details. When a CSR bids, buyers can see the bid, the CSR’s name and photo, and the dealership’s ratings. Messages are visible to the buyer and CSR in that conversation.
  • On the public live board. Anyone can see a limited view of open requests: city, state, home type, size, budget range, and bidding activity. We don’t show buyer names or street addresses publicly.
  • With service providers who process information on our behalf under contractual confidentiality and security obligations: InsForge (hosting, database, authentication, file storage, and email delivery), Stripe (payments), Google and GitHub (optional sign-in), OpenRouter (AI processing of public dealer reviews), and Apify (collecting public dealer reviews).
  • For legal reasons, when we believe in good faith that disclosure is required by law, subpoena, or court order, or is needed to protect the rights, property, or safety of OpenLot, our users, or others.
  • In a business transfer, such as a merger, acquisition, or sale of assets, subject to this policy.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. OpenLot does not use advertising or analytics trackers.

AI and automated processing

We use AI models to summarize public dealer reviews into ratings themes. We do not use AI or automated decision-making to make decisions about you that have legal or similarly significant effects, and we do not use your messages or request details to train AI models.

Data retention

We keep your information for as long as your account is open and as needed to provide OpenLot. When you close your account or the information is no longer needed, we delete or anonymize it within a reasonable time, except where we must keep it longer to meet legal, tax, accounting, or dispute-resolution obligations (for example, billing records).

Security

We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted connections, hashed passwords, access controls, and row-level database permissions. No method of transmission or storage is completely secure, so we can’t guarantee absolute security. If you believe your account has been compromised, contact us right away.

Your privacy rights

Subject to applicable law, you can ask us to:

  • Access the personal information we hold about you, or get a portable copy of it.
  • Correct inaccurate information.
  • Delete your account and personal information.
  • Restrict or object to certain processing.
  • Stop sending you marketing emails (service emails about your account and activity will continue while your account is open).

Residents of California and other states with privacy laws may have additional rights, including the right to know what categories of personal information we collect and why. We will not discriminate against you for exercising your rights. To make a request, email info@wilsonitsolutions.com. We may need to verify your identity, and we will respond within 45 days. You may use an authorized agent where the law allows.

You can edit much of your information, such as your display name, profile photo, and requests, directly in OpenLot.

Children

OpenLot is intended for adults. You must be at least 18 years old to use it, and we do not knowingly collect information from anyone under 18. If you believe a minor has given us information, contact us and we will delete it.

Where data is processed

OpenLot is operated from the United States and intended for users in the United States. Your information is stored and processed in the United States.

Changes to this policy

We may update this policy as OpenLot or the law changes. We will post the updated version here with a new “Last updated” date, and if the changes are significant we will notify you by email or in the app before they take effect.
